Migrating QuickBooks Desktop To QuickBooks Online
Move your company files from QBDT to QBO by following the below stepwise guide.
Step 1: Prepare Your Desktop File
Note: You have 60 days from when you create your QuickBooks Online account to move your data. To check how old your company file is, log in to QBO and refresh the page. Update your QuickBooks software. Also, your file needs to be smaller than 750,000 targets to transfer successfully. Press Ctrl+1 to check the file size. If it's too big, you can either import lists and balances or start fresh. Use the QuickBooks Migration Tool to transfer QBDT to another computer.
Prepare for Transfer:
- Print your Sales Tax Liability Report to make adjustments later:
- Navigate to Reports.
- Choose Vendors & Payables.

- Set the date range to "All."

Step 2: Move Your QBDT File to QuickBooks Online
QuickBooks Desktop Pro or Premier
Make sure QuickBooks Desktop is up-to-date. Download and install the latest updates.
- Back up your QuickBooks Desktop company file.
- Ensure a smooth transition by verifying and rebuilding your data in QuickBooks Desktop before switching to QuickBooks Online.
Copy Your Company File to QuickBooks Online
- Sign in as an admin.
- Go to Company.
- Click Export Your Company File to QuickBooks Online.
- Select Get Started.
- Sign in as an admin.
- Access QuickBooks Online.
- Select Choose Online Company.
- Select the company you want to replace with your file.
- Select Continue.
- If you track inventory:
- Select Yes to bring it over.
- Then, enter the as-of date.
- Select No to set up new items later in QuickBooks Online.
- If there’s existing data in QuickBooks Online, QuickBooks will ask if you want to replace it.
- Enter Agree in the text field.
- Select Replace.
- Choose Yes.
- Go ahead and replace the data.
- Select Replace.
Step 3: Use QuickBooks Online
Once you've moved from QuickBooks Desktop to QuickBooks Online, do the following:
- Link your bank or credit card account.
- Create and send invoices to your customers.
- If you track sales tax, configure sales tax based on location.
- Track and pay your bills in QuickBooks Online.
